Work Study for Employers
Hiring 101
It is the responsibility of the employer to hire, train, and dismiss employees as needed. For those seeking to employ students under the Federal Work Study program:
- Complete a Helping Hands training session covering Handshake posting instructions and new work study resources. Please email workstud@uark.edu to enroll in a training session.
- On-campus employers need to ensure each student hired has a position to be seated
within Workday. Each position will be reviewed and approved by the Workstudy Partner
within Workday.
- The Financial Aid Office will handle the seating of each off-campus employee. (Off-campus is defined as non-profit, community service employers.)
- All work study students must have a completed Student Job Assignment Form on file
before they are eligible to begin working.
- Supervisors may request Student Job Assignment Form(s) from the Financial Aid Office
by completing the online form here.
- Job assignment forms will be sent to on-campus departments through campus mail.
- Students who work at off-campus locations must pick up the Student Job Assignment Form from the Financial Aid Office.
- All forms must be reviewed and signed by the work study student, Supervisor, and HR
Partner/Employment Coordinator.
- The Federal Work Study Award Disclaimer listed on the Student Job Assignment Form can be found here.
- Upon completion, please return the top, white copy of the form(s) to the Financial Aid Office, HUNT 114.
- Supervisors may request Student Job Assignment Form(s) from the Financial Aid Office
by completing the online form here.
Payment 101
On-campus:
- Students will be paid by entering their time through Workday.
- Students will need to submit their time under the direction of their supervisor.
- The supervisor will review and approve the time per the designated dates supplied by the Payroll team.
Off-campus:
- In order to pay a student, a time sheet must be completed and signed by the student
and supervisor.
- Time sheets are available by contacting the Work Study Coordinator.
- Please make a copy for your records and turn the original into the Financial Aid Office by the due date provided.

- Supervisors may email the completed time sheet to the Work Study Coordinator and then mail or hand deliver the original time sheet to the Financial Aid Office.
Employers and their students will be responsible for tracking the student’s remaining eligibility for earnings. No alerts or reminder emails will be sent out through Workday or by the Work Study Coordinator. The employer is responsible for paying any wages that exceed what a student may earn beyond the work study award amount.
Supervisors need to ensure that students are not scheduled to work during scheduled class time. Students should provide their class schedule to ensure conflicts are not present. Please use this spreadsheet (Work Study Time Sheet) to help monitor your students' time worked.
